Online booking — If you book a survey online, before you enter any personal details into the online form, we'll tell you how your information will be used in our data protection statement and in the relevant terms and conditions. You will be asked to confirm that you have read and understood these before your booking can proceed. We might occasionally send you information about services which we think would be of interest to you. If you'd prefer us not to use your contact details in this way you can opt out by leaving the tick box that is available to you unticked.
Contacting us by phone — You can call our customer services team on 01202 623236.
Contacting us by email — When you email us, we collect some personal details like your name, address and phone numbers. Email isn't 100% secure – so we advise that you keep personal information to a minimum. With this in mind, don't transmit account information using email. Emails are stored on our standard internal contact systems which are secure and can't be accessed by external parties. We store this information for an indefinite period of time in order to identify trends.
Reports and projects in our online tools — When you buy a report from one of our calculation tools, we keep a record of it so that anyone holding it, such as Building Control, can check it is genuine at energycount.co.uk/verify: its Report ID, the tool, the date, the project reference you gave and a fingerprint of the PDF. We keep that record, and a copy of the PDF so we can send it to you again, for 15 years from the date of the report: the usual period for building records, since building control can act on building work for up to 10 years after it is finished and claims about defects can be made for up to 15. For O-Monkey (Part O) reports the record also holds the design the report was made from: the rooms and windows, and the address and references you entered. Anyone with the report's ID can open that design read-only, so Building Control can compare it with the drawings; if you'd like a design removed, email mail@energycount.co.uk and the report will still verify. A save or share link keeps a copy of your project for 30 days, and a free U-Monkey U-value report is kept for 180 days so it can be reproduced.
Feedback from our tools — If you send us feedback, or ask us to add a product, from inside one of our tools, we receive your message and a few details that help us understand it without asking you to explain: the tool and the part of it you sent it from, what you were working on (for example the element, the regulations it is judged against, the number of layers and the U-value), whether you are signed in to a plan, your browser and screen size, any error the tool had just shown, and the country your connection came from. Your build-up itself is only included if you tick the box to attach it. Your email address is optional and is only used to reply to you. We keep feedback for two years and then delete it; to have yours deleted sooner, email mail@energycount.co.uk.
Site postcodes in U-Monkey — If you enter a site postcode in U-Monkey, only its first half, the postcode district (such as CF10), is used. Your browser sends the district to postcodes.io, a free postcode lookup service, to find which nation the site is in and its nearest weather station; we don't receive it from that lookup. If you save or share the project, or make a report from it, the district is kept with it as described above. The rest of the postcode is never sent or kept.
Using your personal information — We will tell you if we intend to use your information for marketing purposes and we'll give you the opportunity to opt out if you want to. If you receive emails and don't want to in future, please email unsubscribe@energycount.co.uk to be removed from our list.
Legal Statement about this Privacy Statement — This Privacy Statement is not designed to form a legally binding contract between Energycount and users of our website or online services. Instead it's a guide to our online protection standards – although of course we do consider it of utmost importance to abide by the principles stated here.
Contacting us about our Privacy Statement — If you think this Privacy Statement hasn't answered all your questions, or you want to know more, please contact our customer services team at mail@energycount.co.uk.
